The Challenge
Plenty of Data, No Way To Use It
Before TopBuilder, building a clear picture of their pipeline meant opening upwards of 10 different spreadsheets and then having a few conversations to fill in the gaps. The information lived in scattered Excel files.
The same project went by different names from one file to the next. Fields were missing and nothing was standardized, so even simple questions took time to answer and the answer wasn’t always one you could trust.
“We had plenty of data, but we couldn’t reliably analyze it or turn it into useful information,” said Matt Andersen, CFO at Superior Masonry.
It’s a familiar bottleneck for contractors as they scale. The tools that worked at one size stop keeping up, and finance and estimating teams end up spending more time reconciling files than acting on what’s in them.
The Solution
Putting Everything in One Place
Within 24 hours, TopBuilder onboarded Superior Masonry into TopBuilder CRM and ContractorBI™ and completed a two-way data sync between STACK, Sage Intacct, and Procore. We took all their spreadsheets and existing software stack and combined them so information moved freely across the entire business. The result was a consistent, centralized view of the pipeline in place of the old patchwork.

The Results
Visibility Leadership Can Act On
The clearest change has been visibility. “I can now see our bid backlog, what we’re actively bidding or rebidding, and the overall state of our pipeline without meshing multiple spreadsheets and conversations,” Andersen said. “That visibility has real value for us, even though we haven’t reached the point as a company where we can quantify it yet.”
Day to day, the biggest shift has been tighter alignment between the estimating and business development teams. They now work from the same view of the pipeline, and leadership has the access it needs to readily understand what’s happening and make informed decisions, rather than waiting on someone to assemble the picture by hand.
For Andersen, the case is straightforward. “I believe having a CRM is mission-critical for any contractor that wants to grow and make better decisions with its data,” he said. He pointed to the team behind the product as part of the reason:
“I like TopBuilder and would recommend them to another contractor. You can tell they genuinely care about the product and the industry.”
The Takeaway
Centralized Data Comes First
Superior Masonry already had the data it needed. TopBuilder gave the company a place to put it where it could finally be used.
For contractors drowning in spreadsheets that don’t talk to each other, that’s the first move: get everything into one place, with one name for each project and one version of the truth. Once the pipeline is visible, better decisions follow.
